The role
The Executive Assistant will work with the Director of Members and Advocacy of Chartered Accountants Ireland to ensure that they can efficiently manage a very busy work schedule, remain up to date in Institute business and within our trading environment, anticipate developments, respond promptly to communication and stay in touch with staff and members.
This role is part time on a fixed term basis.
Key responsibilities
- Proactive management of the Director’s diary
- Direct incoming calls, visitors, mail and email
- Preparation and compilation of reports, presentations, agendas and papers for meetings
- Arranging international travel (i.e. preparation of comprehensive itineraries including flights, timely arranging of visas, hotel bookings and meeting arrangements)
- Draft responses to correspondence on behalf of the Director within agreed parameters/timelines
- Work closely and coordinate cross departmental activities between the Senior Management Team to support all aspects of Institute business
- Administer the Director’s expenses and ensure timely payment of any outstanding invoices and maintaining appropriate records
- Develop and maintain effective and efficient office systems
- Support the organisation of events and functions for the Members & Advocacy team
- Assist with the coordination of the Annual Business Plan on behalf of Members & Advocacy team
- Liaise with other National and International Accountancy Bodies on various issues
- Other ad hoc responsibilities to assist Director including research and production of presentations.
- There will also be a requirement, from time to time to get involved in adhoc cross departmental projects as a coordinator as well as a player.
- There will also be a requirement to summarise already prepared financial information to assist the Director in decision making.
The candidate
Knowledge & Skills:
- Bachelor’s Degree in Finance, Accounting, Business or related field
- Excellent analytical, decision making and problem-solving skills
- Excellent IT skills: specifically in MS Office suite, with advanced skills required in Excel, Word and PowerPoint and be able to initiate and compose slide decks as required.
- Excellent letter writing skills.
- The ideal candidate will have experience dealing with financial information in a previous role and also be experienced in helping on ad hoc projects as a coordinator and organiser.
- Proficiency in analysing and presenting financial information
