Exams Department
The Examinations Department is the arm of ETD charged with delivering all formal interim and end-of-year assessments. There are three academic years – CA Proficiency 1 (CAP1), CA Proficiency 2 (CAP2) and the Final Admitting Exam (FAE). Within Examinations, the Examinations Operations Unit manages the delivery of examinations (to include venue management, exam management and all activities associated with the processing and publishing of exam results).
Summary of the Role
The executives in the Examinations Operations Unit will be responsible for ensuring the successful roll-out of examinations (interim and final assessments), including venue management, support for key stakeholders (students, firms, exam teams and related Boards/committees) and processes surrounding marking, adjudication and publication of results and related processes (appeals, information schemes etc.)
Reporting to: Examination Operations Manager
Key responsibilities:
Overall responsibilities may vary from time to time, but the main areas of responsibility are as follows:
- Issuing of examination details to examination candidates; including arranging and sending to students the timeslots for each exam and assessment they are enrolled to sit.
- Organisation and processing of E-Assessments, assessments and exams including liaising with the E-Assessment Executive to ensure that papers and windows are ready to go live, dealing with all queries / issues on the day and ensure that all queries are dealt with on the same day and escalated to manager where this is not possible.
- Pro-active and sensitive organisation of the accommodation of students with reasonable accommodation, liaising with Access officer.
- Accurate processing of attendance at examinations and interim assessments.
- Accurate processing and recording of extenuating circumstance applications that are received post exam.
- Liaising with course co-ordinators and assisting in any queries they have.
- Efficient coordination of scripts, reconciliation of numbers with manager prior to marking centre
- Dealing with queries from examination candidates, Invigilators and all examination marking personnel at the first point of contact and achieving a same day turn around on any follow-up actions.
- Assisting in the running of Committee meetings (Agenda and minute taking).
- Effective and timely communication with examination committee and boards, including co-ordination of PEC/FAEC/Appeals Panel meetings, Examiner/Educator liaison meetings, moderation/review days and mark review meetings.
- Regular updating of the examinations section of the website with standard information updates and a pro-active approach to improving the exam webpages as a source of relevant exam information.
- Compiling and publishing accurate examination and interim assessment results.
- Successfully resolving queries from candidates following the publication of examination results.
- Timely updating of examination records.
- Efficient and sensitive administration of the appeals scheme for the main examinations.
- Co-ordination of the drafting of tutorial reports, including minimising turn-around time.
- Update Policies and procedure documents for Exam operations team.
- Dealing with GDPR requests.

Required competencies & Personal profile:
- Experience in a customer service role essential.
- Administrative and operational work experience required.
- Previous education/examination experience is desired.
- Exceptional communication skills (oral & written),
- Good working knowledge of Office 365 applications.
- Excellent attention to detail and awareness of implications of actions and inactions in the context ofexaminations coordination.
- Strong team player.
- Proven ability to work under own initiative and to provide guidance and direction to others.
- Excellent time management and organisational skills.
- Experience of working with information systems or databases.
