Summary of the Role
The Privacy Manager is expected to have in depth expert knowledge of GDPR, local data protection laws and manage the Institute’s data protection strategy and processes. They will lead and manage a cross-functional Data Lead team for ensuring on-going compliance with data protection legislation. This role involves consulting with internal stakeholders, law firms and other external advisors with the aim of ensuring and, where possible, future proofing the Institute’s compliance with applicable data protection legislation and fostering a culture of ‘data protection by design’ within the organisation.
This is a key role in driving, managing, and supporting the administration of internal systems and processes designed to ensure compliance with Data Protection requirements. This also involves monitoring compliance with procedures which support the business in complying with its Data Protection obligations. This role will also undertake related project work identified in the organisation to deliver compliance with GDPR on an ongoing basis.
The successful candidate will be acting as the Institute’s main point of contact with the Office of the Data Protection Commission (the “DPC”). Reporting directly to the Finance Director, the candidate will be the primary point of contact for all matters relating to data privacy.
Key responsibilities
- Inform and advise the Institute and employees on applicable privacy laws, regulations, and enforcement, monitoring, and reporting on new developments and trends across Europe.
- Keeping up to date on data protection changes and ensure continuing implementation of the Institute’s data protection policy and any other connected policies and processes.
- Advising on the privacy impact for new business initiatives, ensuring consistency of approach across the organisation in respect of data protection approach and practices.
- Providing advice and instructions on how to conduct Data Protection Impact Assessments (DPIAs).
- Ensuring we address all queries from data subjects within legal timeframes and manage any data subject access requests.
- Advising and monitoring compliance of records of processing activities, along with ensuring adherence of retention and deletion/disposal schedules.
- Review the data protection provisions of the Institute’s contracts including items such as Data Processing Agreements with processors and Standard Contractual Clauses or other appropriate transfer mechanisms for data transfer outside of the EEA.
- Providing practical guidance and advice to the business on a variety of Data Protection matters and on day-to-day compliance queries.
- Monitoring and pro-actively addressing any issues, potential issues or risks arising in relation to the protection of personal data.
- Leading the investigation and management of potential breaches/instances of non-compliance, working with other stakeholders on incident response for any privacy breaches including reporting to the DPC and/or data subjects where relevant.
- Regularly reviewing and updating policies, procedures, and guidelines.
- Creating and delivering internal awareness campaigns across two office locations
- Reporting to relevant senior management teams and executive committees on the status of the privacy programme.
- Working collaboratively with the Finance, Risk, IT and HR departments along with the senior management team to develop and drive the Institute’s GDPR data protection programme.
Required competencies:
- Experienced Data Protection professional with proven experience in Data Protection or similar compliance role.
- Experience/knowledge of the accountancy industry.
- Experience in managing data incidents and breaches.
- Excellent written and oral communication.
- Excellent organisational and project co-ordinational skills with strong attention to detail.
- Excellent interpersonal and people management skills.
- Ability to prioritize workload and deliver objectives.
- Ability to effectively balance multiple tasks and work to deadlines.
- Excellent Word, Excel, and PowerPoint skills.
Personal profile
- Relevant Data Protection qualification e.g., PDP Practitioner Certificate or CDPP/CIPP/CIPT.
- 5+ years’ experience in a similar role within GDPR/Data protection.
- Legal qualification would be beneficial for this role.
- A high degree of experience of translating legal and regulatory requirements into practical, operational solutions that can be understood and acted on by the various parts of the business.
- Experience implementing data protection standards.
- Ability to work with and across multi-disciplinary teams whilst maintaining independence.
- Flexible approach and a strong team player.
- Ability to constructively challenge and find pragmatic solutions suited to an organisation of
our size.
- Comfortable working both as a self-starter and as part of a wider team.
- Ability to build and maintain relationships.
- Systematic thinker – proactive in their approach to analysing problems, organising work, and planning in a fast-paced environment.
